Open position descriptions for Ballot 2020

All positions require the candidate:

- To be a member in good standing with Sigma, Phi Pi Chapter

- To have leadership experience

- Counselor- must be a Chamberlain employee

Vice President

- This position is an Executive Board position.

- Perform the duties of the president in the president's absence

- Oversee planning of at least 2-chapter programs/events annually

- For the year 2020, this is a one-year position, ending June 30, 2021

- Prepare an annual report to the chapter membership regarding the vice president's responsibilities and activities.

- Be chair of committees, as needed and/or as appointed.

- The Vice President would need to be prepared to step into the position of President in the absence of the President.

- The minimum time commitment is approximately 5 hours per week year-round; however, during budgeting, inductions, elections, annual reporting, bylaw updates and key award application periods, this time commitment would increase.

Secretary

- This position is an Executive Board position.

- Record and distribute the minutes for the Board of Directors and all business meetings.

- Keep an official record book of the minutes, in perpetuity, of all Board of Directors and business meetings to present to the succeeding Secretary. - Organize, write and distribute all membership communication about chapter activities.
- Develop and maintain chapter's online outlets for publicity or membership communication as assigned (including website, social media accounts, and chapter email system).

- Serve as chair of chapter committees, as applicable.

- The minimum time commitment is approximately 3-4 hours per week year-round; however, during budgeting, inductions, elections, annual reporting, bylaw updates and key award application periods, this time commitment would increase.

Counselor

- This is an Executive Board position

- MUST be a Chamberlain employee. (through the entire serving term).  

- Champion the membership recruitment process and advocate for membership in the organization

- Oversee Chamberlain Campus Ambassadors; assist in educating Campus Ambassadors to their roles/responsibilities.

- Prepare an annual report to the chapter membership regarding the counselor's responsibilities

- Secure necessary data from the official records of students to determine membership eligibility
- Notify students of their eligibility status and send out the appropriate membership application materials.

- Time commitment is approximately 2-3 hours per week year-round. However, the time requirements to increase during the 8 weeks surrounding each of the 3 new member inductions each year. 

Leadership Succession Committee

- Prepare an annual report to the chapter membership regarding the leadership succession committee responsibilities and activities

- Election responsibilities as follows:

- Those serving on the Leadership Succession Committee are not permitted to be on the slate of candidates for officer or committee positions during their term of service on this committee.

- Oversee the selection of members who can provide future leadership for the achievement of chapter goals and needs of members.

- Manage the preparation, distribution and tallying of election ballots.
- Post on member sites and help with announcements during an election year.

- Notify all candidates (elected and non-elected) of the election results.

- Submit the list of new officers to Sigma Headquarters within two weeks of elections and provide Sigma Headquarters with updates as they occur.

- Time commitment approximately 1-2 hours per week year-round for recruitment efforts; however, during elections (approximately 3 months per year), and/or as deemed necessary, this weekly time commitment would increase.
